FAQ

Questions firm owners ask.

Short, honest answers, grouped by what you are trying to work out. If yours is not here, it is a fair thing to raise in your application.

Is this a fit for us

?Who is this actually for?

Owner-operated bookkeeping, accounting, and fractional-CFO firms with roughly 2 to 20 staff, where the same back-office work is done by hand every week. That is where we are starting, and where the demonstrations are aimed.

?We are not a bookkeeping firm. Can you still help?

Probably. The public service is broader. It covers customer and contractor communication, and social media production, as well as general workflow systems and internal tools. The founding reviews are focused on bookkeeping right now, but the demonstrations show the range.

?How do I know a workflow is worth automating?

That is exactly what the free review is for. Bring the one workflow that costs the most time; we look at it read-only and tell you honestly whether it is worth building, and what it would cost.

The demonstrations

?Are the demonstrations real customer systems?

No. Every demonstration runs on invented sample data, is clearly labelled, and never sends anything. They show how a custom system would work, not a result we achieved for a client.

?Can I try them without talking to anyone?

Yes. Every demonstration is interactive and needs no form and no sign-up. Approve a reminder, resolve an exception, or retry a failed run, and watch that nothing leaves the page.

?Would my system look exactly like these?

No. Yours would be built for your tools and your workflow. The demonstrations show the mechanics we reuse: a queue, a transparent score, a human approval step, a held outbox, and an audit trail.

How the review works

?What happens in the five business days?

We look at one workflow, read-only, understand how it runs today, and write a plain baseline of the steps, the time, and the risks. You get a recommended improvement and one fixed price.

?What do I have at the end?

A written assessment you keep, one recommended improvement, and a fixed-scope quote to build it. No obligation to go ahead.

?Will you change anything during the review?

No. The review is read-only. Nothing is built, changed, or sent during it.

Security & your data

?Will you have access to our client data?

Only the least access needed for the one workflow, on your own accounts, and you can revoke it any time. We store no customer data, and a person on your side approves anything that would reach a client.

?Whose tools does it run on?

Yours. Everything runs on your own accounts, in your firm’s name. We never hold your customer relationships, and there is no platform to move onto.

?What stops it doing something wrong?

A person approves every consequential action, the system is monitored so failures surface as alerts, and every action is logged. Access is least-privilege and revocable. See the security page for the mechanisms.

Building & pricing

?What does building the improvement cost?

It is a separate, fixed-scope, paid project, quoted after the review so the price matches the work. The review itself stays free, and there is no obligation to go ahead.

?Is the review really free? What is the catch?

It is a founding program. We are new and want a few real results to point to, so we do three reviews at no cost. You keep the assessment and the quote with no obligation. Building the improvement is the paid part.

?Why only three firms?

Because each review is real hands-on work and we can only do a few well at once. It is a genuine capacity limit, not a sales countdown. When three are taken, the review is honestly closed until we can do more.

After it is built

?What happens if the system breaks later?

Custom work is monitored, not abandoned. If a run fails, you are told. A person hears about it instead of a client noticing. The Reliability Control Room demonstration shows how.

?Do you offer ongoing support?

Yes, as a separate paid arrangement for monitoring and maintenance, quoted with the build. You are never locked in, and everything runs on your own tools.

Why there is no proof yet

?Where are your case studies and testimonials?

We have not earned them yet, so we do not show them. No customer names, logos, or results appear on this site until we have real, permissioned proof. The founding reviews are how we earn it.

?Who is behind this?

Structured Scale is run by Gunner Hagens, who does the work himself. We would rather prove the work on a few real workflows than make claims we cannot back up. There is more on the About page.

Still deciding? The clearest answer is to try the work. See the demonstrations, read how security and reliability work, or apply for a founding review.
